Golfing Membership Terms & Conditions

Introduction

Belmont Golf Course is a business operated by Golf Inns Limited trading as Belmont Lodge & Golf.

These terms & conditions relate to Golfing Membership and have been drafted to ensure that everyone who uses the facilities at Belmont, be they members, guests, visitors or members of staff can do so in a safe and enjoyable way that respects others using the facilities, and the property itself.

Belmont Golf Course is run as a proprietary course and Golf Inns Ltd is responsible for the management of the premises and business at the property; employing the staff at Belmont (though not the Professional or his staff), managing and maintaining the course and property and providing the Clubhouse services. It also owns and operates the Belmont Lodge Hotel.

Belmont Golf Club, represented by its Club Committee, a body of persons elected from and by the membership, organises and runs most membership activities e.g. arranging matches, competitions, handicaps etc. Belmont Golf Club is responsible for all administration relating to the players handicaps and the E.W.G.A. as well as all matters relating to interpretation of the rules of the Royal & Ancient.

A liaison committee made up of the General Manager of Golf Inns Ltd and the Club Captain and Secretary manages the interface between Golf Inns Ltd and Belmont Golf Club.

The terms & conditions published on this page are the latest available and those that are currently in force. They may be updated from time to time in accordance with clause 1.3 below.

Your Belmont Membership Card

Your personal Belmont Membership Card is essential for your use of the facilities at Belmont. It proves your eligibility to use the course at specific times and provides you with discounts on food and drinks. It is a condition of membership that you must swipe your card in either Reception or the Pro shop before you play on the course. Please be aware that compliance with this policy will be checked and enforced and you may risk losing your membership if you do not observe the policy.

Please keep your card safe and secure and let us know immediately if you lose it so we can cancel it and issue you with another card.

Visitors & Guests

These terms and conditions set out the standards that we believe all members would like to see upheld at Belmont. We accept that we have a duty to apply the same standards to those using the facilities at Belmont who are not members, and we will continually work hard to ensure this is the case.

We would be very grateful for your support in this respect – if you see anything you believe to be unacceptable or a breach of these terms and conditions please inform a member of staff as soon as possible and we will take the appropriate action.

Definitions

Golf Inns Ltd – the owners of Belmont Golf Course & Belmont Lodge Hotel. Golf Inns Ltd is incorporated in England & Wales with Registration No 2406171 and its Registered Office is Highdown House, Highdown Road, Sydenham, Leamington Spa, CV31 1XT.

Belmont – the property known as Belmont Golf Course and the associated facilities including the Clubhouse situated in Belmont House and Belmont Lodge Hotel, all at Belmont, Hereford HR2 9SA.

Member – an individual who by way of an annual Subscription payment to Golf Inns Ltd has paid for the right to use Belmont Golf Course and Clubhouse facilities as explained in these terms & conditions for a specified period of time, subject to these terms & conditions.

Visitor – an individual using the facilities at Belmont who is not an employee of Golf Inns Ltd or a member.

Member’s Guest – an individual invited to use the facilities at Belmont by and accompanied by a member

We, Us, Our – Golf Inns Ltd

You, Your – the Member

Subscription – the amount paid by a member to use the facilities in accordance with these terms & conditions.

Membership – the rights conveyed to a member by way of the payment of a Subscription.

Membership Category – a specific type of membership which conveys particular rights of use and restrictions as to use as set out in these terms & conditions.

Membership Card – a unique card issued to each member which is used for accessing the course and obtaining members discounts in the Clubhouse.

Bag Tag – a plastic tag issued to each Member confirming their Membership category and the Membership Year.

Membership Year – the period for which a subscription has been paid by a member and for which membership rights apply. The membership year starts on 1st March and ends on 28th February (29th in a Leap Year).

Renewals – the renewing of membership from one membership year to the next without a break.

Belmont Golf Club – the non-profit members organisation which runs members activities and specifically competitions, handicaps and social activities at Belmont for the benefit of members.

Terms & Conditions

1 General
1.1 The following Terms & Conditions apply to all golfing members at Belmont.
1.2 By paying for an annual subscription you are deemed to have done so in full knowledge and acceptance of these terms & conditions.
1.3 These terms & conditions may be changed at any time and without prior notice. The latest version will be that which is published on the Belmont Golf Course web site (www.belmont-golf.co.uk) at any time.
1.4 Memberships are non-refundable and non-transferable.
1.5 Applications for membership are approved or otherwise at the sole discretion of Golf Inns Ltd and membership does not commence until an application or renewal has been accepted by Golf Inns Ltd and the appropriate payment is received.
1.6 Granting of membership includes automatic membership of Belmont Golf Club, but membership of Belmont Golf Club does not imply automatic membership of Belmont Golf Course. 1.7 Membership of Belmont Golf Club is subject to the separate constitution and rules of the Club.
1.8 Granting of membership entitles you to use the facilities at Belmont for the relevant membership year only, in accordance with the restrictions applicable to your membership category and these terms & conditions.
1.9 Granting of membership does not imply an automatic right to renew membership in subsequent membership years.
1.10 We reserve the right to limit the number of members in any given membership category, to amend the allocation of exclusive visitor or member tee times or to close the course at any time. Any such decision will not be made unreasonably but may be made at the sole discretion of Golf Inns Ltd.
1.11 Data Protection. You consent to our use of the information given by you, including your personal information, for the administration of your membership and our marketing purposes. We will not pass on your information to third parties for marketing purposes.

2 Subscription Payment
2.1 Renewal subscription payments are due on the first day of the relevant subscription year. If not paid in full in cleared funds by this date then you will be deemed to have not renewed and all membership rights will cease immediately. Should you wish to become a member subsequently you will have to reapply for membership, rather than renew.
2.2 Subscriptions are payable by cheque. Credit/Debit Card payments are not currently accepted.
2.3 If phased payments are offered for a specific category, then failure to meet the agreed payment schedule will result in membership being cancelled immediately. No refund will be given for payments made up to that point. Phased payments are offered at the discretion of Golf Inns Ltd.
2.4 In the event of termination of membership within the membership year, for whatever reason there will be no refund of membership subscriptions unless there are exceptional and legitimate medical grounds for such termination. Golf Inns Ltd reserves he right to request written documentation from a Medical Doctor to confirm such grounds. The final decision on whether a refund is granted rests entirely with Golf Inns Ltd. 2.5 Subscriptions include member insurance.

3 Use of the Course
3.1 Tee times can only be secured if booked in advance. Bookings can be made in person at Belmont, or by phone via the Reception on 01432 279739.
3.2 Without exception, all members must swipe their card in either the Pro shop or at Reception before playing. Failure to do so will result in disciplinary action which could result in loss of membership.
3.3 Members must have their Bag Tag clearly visible at all times whilst on the course.
3.4 Members should carry their membership card with them at all times when using the facilities.
3.5 Members must adhere to the dress code at all times whilst on the course :
3.5.1 Golf shoes to be worn at all times
3.5.2 No jeans or track/shell suits
3.5.3 Golf shirts with collar or polo neck, no t-shirts or sleeveless shirts
3.5.4 Tailored shorts with sports socks are permissible
3.6 Adhere to local rules for the day including the specified tee of the day.
3.7 Avoid slow play, always exhibit high standards of etiquette, courtesy for others and respect for the course (i.e. repair pitch marks, rake bunkers etc)
3.8 Alcohol is not permitted on the course without the prior permission of Golf Inns Ltd.
3.9 Greens staff have priority at all times. When greens staff are working on a green and the flag is removed, the green is not in play and you must wait until the flag is replaced.
3.10 Dogs (with the exception of guide dogs) are not permitted on the course without prior permission.

4 General Behaviour & Dress Code
4.1 There is no smoking allowed in any areas of the Clubhouse, Pro Shop or other properties at Belmont.
4.2 General bad behaviour and use of bad language will not be tolerated anywhere at Belmont, and sanctions may be applied if this policy is not observed.
4.3 A reasonable standard of dress is expected at all times at Belmont – for example headwear should be removed whilst in the bar or restaurant and shoes must be worn at all times but golf shoes should not be worn in the bar or restaurant. Golf Inns Ltd reserves the right to deny access to anyone it believes is not appropriately dressed.

5 Membership Card
5.1 All members will be issued with an individual membership card, valid for a specific membership year.
5.2 Membership cards are not transferrable
5.3 Neither food & drink card credit , nor course access points are transferable.
5.4 Membership cards must be used to swipe in before starting play on the course, in all circumstances and without exception. Failure to do so may result in membership being cancelled.
5.5 Golf Inns Ltd cannot be held liable for any loss incurred due to the loss of a membership card. It is the members responsibility to inform Belmont of any loss as soon as possible so the card can be cancelled.
5.6 Golf Inns Ltd reserves the right to charge a fee for re-issuing lost or damaged cards.
5.7 Membership cards offer no credit or debit facility and accounts must be kept in credit in order to make a purchase i.e. purchases cannot be made without there first being sufficient funds in your account.
5.8 The minimum card credit top up is £10.
5.9 Food & drink card credit can be carried over to the next membership year providing the member renews without a break in membership i.e. by 1st March of the new membership Year. However if a member does not renew, or their membership is cancelled at any time, they are not entitled to a refund should the card account be in credit.
5.10 Any unused golf course access points cannot be carried forward into another membership year should a member renew, and neither do any unused points carry any monetary value if unused within the membership year, or if a member changes membership category during the course of a membership year.

6 Membership Categories
6.1 7 Day Membership
6.1.1 Full rights to access the course at any time, 365 days of the year, except for when the course is closed or during closed tee times (eg times closed for a specific event), subject to availability.
6.2 5 Day Membership
6.2.1 Full rights to access the course on any weekday only (Monday to Friday), except for when the course is closed or during closed tee times (eg times closed for a specific event), subject to availability.
6.3 Joint Memberships (7 & 5 Day)
6.3.1 Both members, on request, will need to provide proof that they share the same permanent residence (e.g. utility bill etc).
6.4 Forces Memberships
6.4.1 Membership will be granted on production of a valid Forces ID card, current at the time of commencement of membership.
6.5 Lifestyle Membership
6.5.1 2 points will be deducted for 18 holes at any time mid-week and 4 points for 18 holes at any time at a weekend or on a Public Holiday. Half the stated points will be deducted for 9 holes.
6.5.2 It is essential that Lifestyle members swipe their cards before playing, as failure to do so will mean that points are not deducted and Golf Inns Ltd is effectively defrauded. It is not acceptable to swipe later i.e. at any time after play has commenced. Should a Lifestyle member be found not to have swiped their card before playing, Golf Inns Ltd reserves the right to cancel their membership without notice. No refund will be issued for unused points.
6.5.3 Points are not transferrable from one member to another, nor from one membership year to another.
6.5.4 Junior Memberships
6.5.4.1 The first Junior category is for children who are aged 6-11 years on 1st March of the relevant membership year.
6.5.4.2 The second Junior category is for children who are aged 12-17 years on 1st March of the relevant membership year.
6.5.4.3 The Colts category is for ages 18-24 years on 1st March of the relevant membership year.
6.5.5 Corporate Membership
6.5.5.1 To qualify for Corporate membership, the named 7 Day members must provide proof that they are employees or principles of a corporate body (Limited Company, Partnership, PLC etc).
6.5.5.2 Named 7 day Corporate memberships cannot be transferred without the express consent of Golf Inns Ltd
6.5.5.3 All correspondence will be sent to the Company address and in the name of the Company.
6.5.5.4 Guest Green Fee Vouchers are for mid week golf only and Guests are not entitled to join Belmont Golf Club, play in competitions or apply for a handicap at Belmont.
6.5.5.5 Corporate golf days are mid-week and subject to availability. Should a suitable date not be found then no financial recompense will be made. The offer of a corporate golf day is conditional on catering booked and paid for by the corporate member.

7 Member Benefits
7.1.1 We reserve the rights to amend member benefits at any time.
7.1.2 Guest Discounted Green Fee Vouchers can only be used by guests when accompanied by the member in question. Maximum 3 guests per member per day.
7.1.3 Guests cannot play in competitions or apply for a handicap at Belmont.
7.1.4 Refer a Friend scheme. To qualify the new member must confirm that they were introduced by the member and the new member must not have been a member of Belmont in any membership category at anytime in the preceding 12 months.

8 Equipment Including Buggies
8.1 Members will be held liable for any costs incurred in repairs or replacements to any fixtures and fittings, property or equipment at Belmont which has been deliberately, negligently or wantonly damaged. This also applies to the course and surrounding areas.
8.2 Before using a Buggy, a member must sign a Buggy Hire Agreement and adhere to the conditions stated in the Agreement. If you are unsure how to operate the Buggies safely you must raise this with a member of staff before using the buggy.

9 Photography
9.1 From time to time, the management of Belmont Lodge Hotel and Golf Course reserve the right to take and use photographs of visitors and members using our facilities for promotional material as they see fit.

10 General Liability
10.1 Golf Inns Limited cannot be held responsible for any loss or damage to members property whilst at Belmont.
9.2 The golf course and surrounding areas are a natural environment, with woodland, ponds and of course the river. Paths are undulating and there can be unexpected conditions under foot (rabbit scrapings etc). Whilst all efforts are made to make this as safe an environment as possible we must balance that with a desire to leave the environment as natural as possible. Golf Inns Ltd cannot be held liable for any injury caused by slips, trip or falls or any other such incident whilst at Belmont.

11 Breach of these terms & conditions and Conduct
11.1 Violation of any of these terms & conditions, or conduct in a manner prejudicial to the best interests of Belmont, including rude or offensive behaviour, will subject the person in violation to disciplinary action by Golf Inns Ltd, including possible termination of membership.
11.2 Golf Inns Ltd reserves the right to decide whether disciplinary action is called for and may ask for comment from Belmont Golf Club.
11.3 A decision to take disciplinary action and the level of appropriate sanction will be decided by the General Manager.
11.4 A member may appeal the General Managers decision by writing to a Director of Golf Inns Ltd within 7 days of the decision being confirmed to the member.
11.5 Any sanctions taken against an individual for a breach of these terms & conditions of membership (which may in extreme cases include the banning of an individual from Golf Inns Ltd property) is done so at the sole discretion of Golf Inns Ltd and following consideration of any appeal by the individual by a Director, any decision will be final.
